Changes for 2017

There are several important changes for returning groups this season.

Organization definitions
Please note that charity and non-profit applicants have been divided into three different categories, determined by annual operating revenue. The new categories are Small Non-profit/Charity (for organizations with an annual operating revenue of less than $1 million), Medium Non-profit/Charity (for organizations with an annual operating revenue between $1 million and $3 million), and Large Non-profit/Charity (for organizations with an annual operating revenue over $3 million).

A new Student Group category has been created for student groups who are not directly representing an educational institution (for example, Gay-straight alliances).

Refund policy
The 2017 refund policy has been amended to include a grace period where exhibitors who request a refund between 60 and 90 days from the Event date, will receive a refund of 50% of their vendor/parade entry fee.

No refunds will be issued within 60 days of the event.

The amended policy in the Terms and Conditions reads as follows
Written cancellations 90 days prior to the Event will be refunded minus 10% of the exhibitor fee.
Written cancellations between 60-90 days prior to the Event will be issued a 50% refund upon request.
No refunds will be made within 60 days of the Event.

New rates and rate periods

In previous years, the VPS has charged an application fee. This fee has been absorbed into the vendor space/parade entry fee and will no longer be listed as a separate charge on your invoice.
The VPS has been able to offer the same vendor and parade rates for the past three seasons (the last time rates increased was 2014). There will be some categories that pay a higher rate in 2017.
The three rate periods have been merged into two, with early-bird rates available between August 15th, 2016 and December 31st, 2016. Application during this period is highly encouraged as all rates increase across all categories and entry types from January 1st 2017.

Parade applicant criteria

The Vancouver Pride Parade continues to grow in terms of the number and size of applicant entries. The Parade Committee (a voluntary committee of community members) will be assessing applications and marking proposed entries against selected criteria.

Pride Run/Walk and Picnic
At this time, the details of the Pride Run/Walk and Picnic event are to be confirmed. Vendors are encouraged to indicate their interest on the application form to receive booth availability should it become available closer to the event.

Please be aware that all events are subject to capacity restrictions and often reach these limits well in advance of June 22nd (the official closing date). The Vancouver Pride Society does our best to prioritize local organizations who provide engaging entries and whose values align with the event applied for. We encourage large businesses to reach out to our Partnerships Coordinator for involvement.

There are three application forms below. Festival Exhibitor (booth application at one or more of the 2017 festivals), Food Vendor (booth or food truck application for organizations selling food and/or beverages), and Parade (for parade marching and float entries).

Please familiarize yourself with the Terms and Conditions, Parade Guidelines and Rate Card before submitting your application.

You will receive emailed confirmation that your submission has been received and a time frame for notification of the success of your application.

Insurance (applicable to all booth-holders)

We have found that most vendors do already hold a general insurance policy. These vendors will need to contact their broker/provider and request for an amendment that covers them for a special event. For vendors who do not already have a provider, we would be happy to recommend a broker who specializes in this type of insurance.

Please have your broker/provider forward to you a Certificate of Insurance (COI) that includes the following coverage:

- Minimum $2 Million General Liability Coverage
- Additionally insuring: the City of Vancouver, Vancouver Board of Parks and Recreation, and the Vancouver Pride Society including its Directors, Employees, Contractors, and Volunteers against any liabilities, claims, damages, suits, costs and expenses. Including, without limitation, legal fees and costs arising from or in connection with the occupancy and use of the Event premises (or any part thereof) or any negligent act, error or omission of the VPS or its employees, subcontractors or agents
- The date of the event(s) you will be participating in

Note that a copy of your Certificate of Insurance must be submitted to the VPS by June 22nd.
We do not require a copy of the insurance policy.
